7.7 – Agency-Owned Equipment, Materials, Tools, and Supplies Policies and Procedures

Standard: There shall be policies and procedures for the management of and accountability for agency-owned equipment, materials, tools, and supplies, including procedures for purchase and distribution to authorized persons, proper training of appropriate personnel in use of equipment, safe and secure storage of equipment, and maintenance of all equipment in operational readiness and working order. Such property includes supplies, materials, tools, expendable items, vehicles, installed and mobile equipment, and personal wear items used by agency personnel.

Narrative:

The PRC Policy on Tools and Equipment ensures accountability, safety and that items are properly and regularly maintained, serviced and recorded.

Assigning numeric codes to items and identifying to whom they are distributed to, for example provide accountability. Fleet equipment is assigned a number with an identifiable employee responsible. Supplies and inventoried items are kept in non-public areas and locked when not in use. Maintenance shop keys are accounted for and distributed to authorized personnel. Gas pump locations are kept locked and authorized staff must sign in with fleet number and vehicle license plate. 

Specialized training is offered to ensure safe and proper use of equipment, such as chain saw safety, certification for pesticide application and commercial driver’s licenses (CDL) are required in some job specifications to name a few.

At facilities with collections such as Merestead, the Veterans Museum at Lasdon Park and Arboretum, museum procedures are used to inventory, document and record the condition of objects.
