3.4 – Public Information Policy and Procedure

Standard: The agency shall have approved policies that govern what information shall be released, when it should be released, and by whom it should be released and that demonstrate the agency’s commitment to inform the community and news media of events involving the agency.

Suggested Evidence of Compliance: Provide the written statement of policy and procedure, indicating approval by the proper authority.

Narrative:

PRC Marketing and Public Relations Division (Marketing) manages the Public Information Policy and Procedure that demonstrates commitment to inform the public through the proper channels and timely regarding programs, offerings and events, and on real-time information such as closures and change in schedules.

Through press releases and media events, Marketing compiles information that is disseminated to the press to be used as coverage. They maintain a close relationship with the media. To drive public awareness further, e-mail lists are curated and utilized to send weekly information and on an as-needed basis. County owned billboards, video screens and kiosks display programming, and social media and websites take center stage in efforts. Customer Service functions include outreach from staff to social media comments and emails received from the public, through staff contact with the public at facilities, and by traditional telephone calls to PRC’s public telephone numbers.

The PRC Public Information Policy and Procedure is approved by the Commissioner annually.
